We are seeking a highly organized and proactive Executive Assistant to support the Group Management Team at microLEAP PLT. The successful candidate will play a critical role in ensuring the smooth operation of executive functions, managing administrative tasks, and facilitating effective communication within the management team and across the organization.
Job Responsibilities:
- Calendar Management:
- Coordinate and manage the complex calendars of the Group Management Team, scheduling meetings, appointments, and travel arrangements.
- Anticipate potential scheduling conflicts and proactively address them to ensure optimal time management.
- Communication and Correspondence:
- Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications.
- Draft, review, and edit emails, memos, reports, and other documents on behalf of the management team.
- Meeting Coordination:
- Prepare meeting agendas, attend meetings, and take detailed minutes.
- Coordinate logistics for meetings, conferences, and events, including venue bookings, catering, and technology requirements.
- Information Management:
- Organize and maintain confidential files, records, and documents.
- Conduct research and compile information as needed for presentations and reports.
- Travel Arrangements:
- Arrange domestic and international travel for the management team, including flights, accommodations, and transportation.
- Monitor and report on market trends, conduct competitor analysis, and proactively manage customer relationships.
- Project Support:
- Provide administrative support for special projects, initiatives, and strategic initiatives as directed by the management team.
- Relationship Management:
- Build and maintain positive relationships with internal and external stakeholders, acting as a liaison between the management team and various departments.
- Ad Hoc Responsibilities:
- Take on additional tasks and projects as needed, demonstrating flexibility and adaptability in a fast-paced environment.
- Office Management:
- Oversee general office operations, including supplies inventory, equipment maintenance, and vendor relationships.
Job Requirements:
- Proven experience as an executive assistant or similar role supporting top-level management.
- Excellent organizational and time management skills with a keen attention to detail.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant office software.
- Ability to handle sensitive and confidential information with discretion.
- Bachelor’s degree in business administration or a related field is preferred.
